CREATING AN ITEM RECORD

Instruction Level

This section describes how to create an item record in the LTCU production file on NOTIS. The item record contains the barcode label number and is primarily used for circulation control.

On the blank item record, the system prompts "LTCU DONE" on the command line. (Same can be typed over "DONE" on the command line).

Note the item record number in the upper right corner of the screen. The item record number consists of the bibliographic record ID (3 letters and 4 numbers), a hyphen, the 3-digit copy control number of the copy holdings statement to which the item record will be linked, a hyphen, and a 4-digit item control number. The first item record linked to a copy holdings statement contains item control number "0001", the second contains "0002", etc. For example, AHA1234-001-0001 denotes the first item record linked to the first copy holdings statement for bibliographic record AHA1234.

Bibliographic and copy holdings information is displayed on the item record screen, but cannot be changed in the item record. The main entry, title, edition statement, imprint, and series note fields are displayed from the bibliographic record. The copy status code, classification type code, location (as it is displayed in the online catalog), and call number are displayed from the copy holdings record.

3. ENUM/CHRON

Press TAB to place the cursor on the ENUM/CHRON (enumeration/chronology) field. If the item is part of a serial or part of a multi-volume set, type the enumeration and/or chronology appearing below the call number in the ENUM/CHRON field. If the item is a single-volume monograph, do not type anything in the ENUM/CHRON field.
