EDITING AN ITEM RECORD

Instruction Level

This section describes how to edit an item record in the LTCU production file on NOTIS. The item record contains the barcode label number and is primarily used for circulation control.

ENUM/CHRON

Press TAB to place the cursor on the ENUM/CHRON (enumeration/chronology) field and make any needed additions or corrections. If the item is part of a serial or part of a multi-volume set, type the enumeration and/or chronology appearing below the call number in the ENUM/CHRON field. See Format of MARC Holdings Records for guidance on the format of the data in the ENUM/CHRON field. If the item is a single-volume monograph, do not type anything in the ENUM/CHRON field. If there is already data in the ENUM/CHRON field for a single-volume monograph, the data should be erased.

MIDSPINE, DEPT LOCATN, TEMP LOCATN

Correct or erase data in the following fields, as indicated by the appropriate Processing Center procedures: MIDSPINE, DEPT LOCATN, TEMP LOCATN.

ITEM ID

Press TAB to place the cursor on the ITEM ID field, which will contain the barcode label number assigned to the item. If the barcode label number in the ITEM ID field is incorrect, remove the old barcode label number.

Scanner or light pen

If a scanner or light pen is attached to the terminal being used, pass the scanner across the barcode label in the work to "scan" the barcode label number into the ITEM ID field. Be sure that all other data in the other fields have been typed in before scanning the barcode label number, because the system reads the barcode label number, inserts the number in the ITEM ID field, and automatically DONEs the item record.

Typing barcode number

If the terminal does not have a barcode label wand attached, the barcode label number can be typed in the ITEM ID field. After typing the barcode label number in the ITEM ID field, press ENTER with same on the command line to review the typed data. Press ENTER with done on the command line to add the item record to the data base.

REVIEW FLAGS, ACTION DATES AND NOTES

The NOTES field in the item record is used in conjunction with the REVIEW FLAGS and/or the ACTION DATE in the item record to alert circulation staff to solve certain problems and/or to remember to take an action on a specific date. All of these fields are intended to be used for temporary or short-term actions and messages.

REVIEW FLAGS, ACTION DATES and NOTES may be used by circulation staff with the appropriate, supervisory security clearance. Responsibility for removing flags, action dates and notes in item records also rests with the same circulation staff.

REVIEW FLAGS

Setting the REVIEW FLAGS causes a prompt to appear when an item is discharged to alert the operator to send the item to the appropriate staff for review. Flags may be set only in active subrecords.

An item record includes two REVIEW FLAGS, a circulation review flag and a catalog review flag. The choice of whether to set, by typing an X in the appropriate space, a circulation flag or a catalog review flag is a decision to be made in the local circulation unit. In ILR, Law, and Mann the unit may decide when to use the circulation and/or the catalog review flag. In the libraries supported by Central Technical Services the circulation review flag only should be used and no materials should be routed directly to Central Technical Services.

ACTION DATES

ACTION DATES are set in item records in order to cause an item tp appear on the expired action date list of the daily operations report. The format for action dates is "mm/dd/yy" or "today+n" where "n" equals a number of days in the future. Action dates may be set in any subrecord, active or inactive.

NOTES

The NOTES field is used to provide directions for circulation staff when a review flag and/or an action date is set. In order to ensure maximum intelligibility, the action to be taken should be described using thelist below. The local unit may decide whether to use the number of the code for the message or the words.
