CUL NOTIS Manual, Holdings Records/Delete/Reference
Table of Contents | Example Level
If you have proper authority, as determined by logon and password, you can logically delete a MHLD from OPAC display on NOTIS.
Display the MHLD to be logically deleted:
If no MHLD exists for the copy control number specified, the system displays the message: RECORD NOT FOUND
If a MHLD exists for the copy control number specified, the system displays the MHLD record. Example
Logically deleting the MHLD
For each copy statement on the copy holdings record, if the copy status code is "2" (multi-volume, incomplete) or "3" (multi-volume, complete), erase all holdings statements in the MARC holdings record, using the following procedure:
The system displays the message: MARC HOLDINGS RECORD
The "MHLD" does not disappear from the Copy Holdings screen but the holdings record no longer has any effect on the OPAC display and the MHLD information is not available in the OPAC.
Although it is not absolutely necessary to delete the 866/7/8 fields to logically delete the record and keep it from displaying in the OPAC, when the holdings have been discarded or no longer exist (and the record is unlikely to be reinstated), it is clearer to other staff that the record is no longer active if the holdings fields themselves are no longer present. If you choose to delete the 866/7/8 fields, you must do so BEFORE changing the STAT code to d. After the STAT code has been changed to d, the record cannot be updated. Example
Reinstating a logically deleted MHLD
The system displays the message: MARC HOLDINGS RECORD
The MHLD information will once again be displayed in the OPAC.
