SHELFLIST CARDS

Instruction Level

This section describes how to order shelflist cards in the LTCU production file on NOTIS. The card request display differs from the cataloging, copy holdings, volume holdings, etc. in that it cannot be re-displayed once the done command has been entered. The card order takes a snapshot of information from the bibliographic and copy holdings records to be used to produce a card.

Commands

There are several commands used when ordering shelflist cards.

Shelflist card ordering

Before ordering shelflist cards, complete all work on the bibliographic and copy holdings records. Proofread the records carefully, especially the call number on the copy holdings, before ordering the shelflist; the card order cannot be changed once the done command has been entered on the card request screen.

Records tape-loaded from RLIN

Remove the 998 field from the bibliographic record if it includes a string of subfield codes such as: |a, |t, |s, |n, |w, |d, |1.

DO NOT DELETE a 998 field when it includes a |q subfield. Usually this subfield will appear in conjunction with a |nNIC. Examples

The 998 |q field is used on records for titles being preserved on microform by CUL. The date in the |q subfield is the date when the preservation decision was made. The 998 field will be deleted from the record by the processing center involved following completion of the preservation work.

If the 998 field includes other subfields in addition to |n and |q, then all but the |n and |q should be deleted.

Replacement card orders

In the title level (lst) NOTES field, insert "r:" and your initials before the initials of the cataloger. If cards have been replaced before, use "r2" or "r3", etc. to indicate which of the replacement cards is the most recent. Example

Type catl over DONE or MORE on the copy holdings screen.

Note that a specific copy holdings statement CANNOT be included with the catl command; all copy holdings statements are included on one card request screen. The card request screen may also be requested by typing LTCU catl [record ID]. The card request screen contains no information to verify that the correct bibliographic record has been selected (other than the NOTIS ID), so verify the bibliographic information before displaying the card request screen.

The card request screen displays each of the locations or copies from the copy holdings record. There is also a blank line for each location or copy, to allow for ordering two shelflist cards. Example

There are columns for the various card types which can be ordered on the NOTIS system. Cornell only orders shelflist cards, which is the SL column.

An "S" is prompted in the SL column for each location or copy, to order one shelflist card for each location or copy. Example

When ordering a shelflist card for one location, and other locations or copies appear on the card request screen, type a blank over the "S" prompted in the SL column for other locations or copies to avoid ordering unnecessary SL cards. Example

If two cards are needed for a location, type the location code on the extra line provided, and type an "s" in the SL column. If the location code includes a sublocation, type only the location code on the extra line. Example

Or, if you have only one location or copy on the copy holdings record or want two cards for every location listed, enter the card request screen twice.

If three or more cards are needed for one location, the card request screen must be edited and entered as many times as necessary to produce the desired number of cards.

Proofread the card request screen carefully before entering the final done command on the card request screen. The card order can not be changed once done has been entered.

Press ENTER with done on the request line to order the shelflist card(s). It is not possible to re-display the original card request after done has been entered.

Excessive Copies

When NOTIS will not display the copy you need to create a shelflist card, follow this procedure:

  1. Change the classification status on the copy for which you want to order a
  2. card from "L" to "M."
  3. Type the CATL command
  4. On the top line there should be a string of "L's" and your new "M"
  5. Erase that line and type the M only
  6. Type SAME

All the "L" copies should disappear, leaving only the "M" copy.

After cards are ordered, change the class code back to "L."

Summary of steps to order a shelf list card:

  1. Remove or edit 998 field if necessary.
  2. Enter catl command.
  3. Remove prompted "S" for cards not needed.
  4. Add location code and "S" on blank lines for extra card needed.
  5. Enter done command.
  6. Repeat steps 2-5 if more cards are needed for a specific location.
