This section describes how to create a MARC holdings record (MHLD) in the LTCU production file on NOTIS. An MHLD should be created for each copy of a serial or multi-part monograph, and for any work for which copy specific information needs to be recorded.
NOTIS MARC tags used in NOTIS OPAC displays:
There are many other MARC holdings tags which are not used by NOTIS in the OPAC display. Cornell will use some of these tags to record data for staff use and tape output. Some tags can be used both in bibliographic records and the MHLD (007) and some information can be recorded in different tags in both the bibliographic record and the MHLD (533 and 843). Further information on the NOTIS version of MARC holdings can be found in NOTIS or USMARC documentation.
An MHLD can be created for a specific copy in two ways. It can be input on a blank MARC holdngs record created by the Create MARC holdings command (CHLD) or it can be derived from a MARC holdings record attached to another copy statement. One MHLD can be attached to each copy holdings statement in a copy holdings record. The existence of a MHLD is signalled in the copy holdings record by the presence of the notation MHLD directly below the copy level notes field. Example
Creating blank MARC holdings record
a. Display the Copy holdings record. b. Type chld, space, and the copy control number of the copy holdings statement to which the MARC holdings record is to be linked. Press ENTER. (For example: LTCU chld 3)
If a MARC holdings record already exists for the copy control statement specified, the system displays the message: MARC HOLDINGS RECORD ALREADY EXISTS.
If no MARC holdings record already exists for the copy control statement specified, the system displays a blank MARC holdings screen. Example
Bibliographic and copy holdings information is displayed on the MARC holdings screen, but cannot be changed in the MARC holdings record. The main entry, title, etc. are displayed from the bibliographic record. The copy statement number, copy status code, classification type code, location, call number, and copy statement date fields are displayed from the copy holdings record.

If additional input screens are needed, type "more" over "DONE" on the command line and press ENTER. The system displays an additional blank MARC holdings screen.
Proofreading the Typed Data
To proofread the typed data, type same on the command line and press ENTER. The system will reformat data.
Adding the MARC Holdings Record to the Data Base
Press ENTER with done on the command line to add the MARC holdings record to the data base. The system responds with the message: MARC HOLDINGS RECD CREATED
Deriving an MHLD from a related MHLD.
The system displays a new MHLD with the ID, bibliographic data and copy holdings data from the target copy and the holdings data from the source copy. The MHLD is not actually created until you have pressed ENTER with done on the command line. To cancel the creation before the done command is entered, clear the screen. The record can be edited before it is entered, or it can be created and then redisplayed for editing. When the record is entered, the system displays the message: MARC HOLDINGS RECORD <record number> CREATED.
If the deri command fails because a MHLD already exists for the target copy, the system displays the message: MARC HOLDINGS RECORD ALREADY EXISTS.
If the deri command fails because the keep command failed or was not entered, the system displays message: NO CCN KEPT.
