CREATING A MARC HOLDINGS RECORD

Reference Level

Guidelines on Cornell Practice for MARC Holdings Fixed Fields

Defaults for newly created MHLDs are indicated by an asterisk.

The 007 Field in MHLD records

All 007s valid in bibliographic records are also valid in MHLDs. A copy specific 007 should be entered in the holdings record if Cornell owns multiple versions of a title which can be cataloged on the same record, but which have different 007 values (preservation microfilms must still be cataloged separately to maintain 007s in the bibliographic record).

Guidelines on Cornell Practice for MARC holdings variable fields

Fields 010-035

Use the variable fields 010-035 in MHLD only when cataloging multiple versions of an item on one record and the values for a particular copy vary from the values in bibliographic record. For example, if the print copy of a serial is cataloged in the bibliographic record and the microfiche copy is added to the same bibliographic record, with a separate copy holdings statement and MARC holdings record, enter the ISSN of the microfiche edition in the MARC holdings record if it differs from the ISSN of the print copy cataloged on the bibliographic record.

583 Action note

Use of this field in the MHLD at Cornell for preservation information is under discussion. Continue current practice with bibliographic 583 until further notice.

842 Textual Physical Form Designator

This field contains a textual designation of the physical medium, form, or type of material of the item. It is related to the physical form code contained in the 007/00 (Physical Description Fixed Field/Category of material). It is intended for use with the information in 85x/86x paired fields or with textual information in 866/867/868 fields. NOTIS does not yet use this information in displays.

Please consult with your supervisor if you find a situation in which you believe this field would be appropriate.

843 Reproduction note

This field contains a description of the reproduction aspects of the bibliographic item when some or all of the holdings are a reproduction of original materials that are described in the related bibliographic record.

Specific practice guidelines:

  1. For preservation microfilming projects, we will continue to use the bibliographic 007/533's according to RLIN guidelines.
  2. When Cornell owns only a reproduction, use the 007 and 533 fields in the bibliographic record.
  3. When Cornell owns multiple versions, including original/reproduction or two versions of reproductions, use the 007/843 fields in the holdings records for the reproductions.
  4. When an original or reproduction is added to a record (for example, Cornell once owned only a reproduction, but now owns multiple versions, the library adding the copy should move the 007/533 information from the bibliographic record to the appropriate MHLD

844 Name of unit

Intended for use with 85x/86x paired fields and multiple holdings record for a copy. Not used at Cornell at this time.

845 Terms governing use and reproduction

This contains information about terms governing the use and reproduction of a bibliographic item when the holding organization will lend or reproduce the item. It may be used, for example, to record restrictions on the reproduction of microform copies or on the use of a videocassette or computer file. It is not currently displayed in the NOTIS OPAC.

NOTIS displays information from the following subfields.

Fields 85X-86X

NOTIS does not use fields 853-865 for OPAC display or serial check-in. Use the 866/867/868 for holdings information.

Fields 866/7/8

Indicators for fields 866, 867, and 868:

Cornell will generally be using 1st indicator 4 and 2nd indicator 1.

The first subfield will always be subfield 8 (Link and sequence number). The |8 value will always be 0, since we are not linking to caption or pattern fields, but using only 866/867/868 fields for holdings at present.

899 Enumeration and chronology -- local NOTIS field.

Not used at Cornell.
